Data Access & Deletion

This Data Access and Deletion Policy outlines how Fireup Events Limited (“we”, “us”, “our”) manages personal information collected through its event ticketing portal, in accordance with the New Zealand Privacy Act 2020.

1. Purpose of Data Collection

Personal information is collected during the ticket purchase process and event participation for the purpose of:

  • Processing and confirming ticket purchases

  • Managing entry and communications regarding the event

  • Contact tracing in the event of a public health issue (e.g., pandemic outbreak such as measles or COVID-19)

  • Fulfilling merchandise orders, including post-event follow-up where items were missed or not received

  • Addressing individual queries and support requests related to the event

2. Data Retention Period

Due to the nature of the events we run and in alignment with public health and safety considerations:

  • Personal information provided at the time of ticket purchase will be retained for a minimum of 60 days after the conclusion of the event.

  • This retention period enables us to respond to any health-related incidents, manage post-event merchandise fulfillment, and resolve individual support requests.

After 60 days, information that is no longer required for the above purposes will be securely deleted or anonymized in accordance with Information Privacy Principle 9 (IPP9) of the Privacy Act 2020, which requires that personal information not be kept for longer than necessary.

3. Access to Personal Information

You have the right to request access to any personal information we hold about you, under Information Privacy Principle 6 (IPP6).

We will respond to your request within 20 working days, as required under the Privacy Act 2020.

4. Requesting Deletion of Personal Information

You may request that your personal information be corrected or deleted under IPP7, subject to the following:

  • If your request is made after the 60-day minimum retention period, and the data is no longer required for any of the purposes outlined above, we will action your request as soon as reasonably practicable.

  • If your request is made before the 60-day period, deletion may be delayed until after this period, in line with our legal obligations and public health responsibilities.

5. Data Security

All personal information is securely stored and processed in compliance with Information Privacy Principle 5 (IPP5), ensuring protection from loss, unauthorized access, use, modification, or disclosure.

6. Disclosures to Third Parties

We do not share your personal information with third parties except in the following circumstances:

  • Where required by law (e.g., under direction from the Ministry of Health for contact tracing purposes)

  • To payment processors (e.g., Stripe) for secure handling of your transactions

  • To fulfill merchandise delivery through trusted logistics partners

  • To our trusted medical partners, including Hato Hone St John Aotearoa and Medical Response Industries, in the event of an individualized medical episode or emergency that occurs while you are attending an event organized by Fireup Events Limited

All third parties are required to comply with the New Zealand Privacy Act 2020 or uphold equivalent standards of privacy and data protection.

7. Policy Updates

This policy may be updated from time to time to reflect changes in legislation or operational requirements. The most current version will always be available via the Fireup Events website.
